Jobstown Assisting Drug Dependency CLG (JADD) wishes to recruit the following position:

Job Title: Intake Coordinator

Department: Intake Service 
Reports to: Team Lead / Service Manager
Hours: 15 per week
Location: Jobstown, Tallaght, Dublin 24.
Salary: Grade IV Clerical

Job Purpose

The Intake Officer is responsible for the accurate recording, processing, and management of client information at the first point of contact. The role ensures compliance with data collection protocols (Salesforce, NDTRS, and DRIVE) and supports referral pathways to internal and external services. The post holder plays a critical role in safeguarding data integrity, ensuring timely referrals, and supporting the coordination of services across departments.

Key Responsibilities

Client Intake & Data Management

  • Complete Initial Contact Forms with accurate client details.
  • Search and update client records on Salesforce; check for existing assessments.
  • Input data from Initial Contact Forms into Salesforce.
  • Scan and upload confidentiality and consent to release information forms to a clients file on Salesforce immediately upon completion.
  • Maintain accurate waiting lists for assessments, key-working, childcare, addiction counselling, and family support departments.
  • Update client status (Active/Inactive, Start Date, Exit Date, Reason for Exit) as required.

Referrals & Coordination

  • Process internal and external referrals in line with SOP protocols.
  • Ensure all required assessments (Initial Contact, Initial Assessment, Comprehensive Assessment) are completed before referral to relevant services.
  • Notify key staff via email when a client has been placed on a waiting list (e.g., keyworkers, childcare manager, counsellor).
  • Upload and file all assessments, ensuring correct departmental filing procedures are followed.
  • Ensure clients are made inactive once referrals are complete.

NDTRS Data Collection & Reporting

  • Record NDTRS episodes for all new or returning clients.
  • Complete required sections (admin, demographic, referral, treatment, drug use, risk behaviour, activity, exit).
  • Ensure data accuracy, using "not known" where required, and avoid leaving blanks.
  • Address validations and data queries on LINK in a timely manner.
  • Liaise with NDTRS staff for support and training when required.

DRIVE (Drug Related Intimidation & Violence Engagement)

  • Record DRI data as part of the Initial Assessment process in Salesforce and NDTRS.
  • Provide and explain DRI project materials to clients, ensuring consent forms are signed.
  • Ensure compliance with reporting protocols for DRIVE.

Administration & Team Duties

  • Maintain secure and confidential filing systems (both hard and soft copy).
  • Record and store team meeting minutes weekly, ensuring accessibility.
  • Participate in team meetings and contribute to service development.

Skills & Competencies

  • Strong attention to detail and accuracy in data entry.
  • Excellent organisational and time management skills.
  • Proficient in Salesforce, NDTRS LINK, and Microsoft Office.
  • Ability to follow protocols and ensure compliance with data protection standards.
  • Strong communication skills for liaising with colleagues and external partners.
  • Team player with the ability to work collaboratively.
  • Understanding of confidentiality, safeguarding, and client care in addiction services.

Qualifications/experience

  • A qualification and/or experience working with Salesforce, databases, National Drug Treatment Reporting System, Google Sheets, etc. Experience working in an addiction service would be desirable.

Additional requirements

  • Garda vetting will be a requirement of this post.
