Job Title: Administration & Development Worker - Intercultural Cross-border Inclusion Programme (ICIP)

Main Purpose of Role: 

Donegal Intercultural Platform (DIP) is a human rights focused community development Non-Governmental Organisation (NGO) covering all of Donegal working to support, engage and develop the inclusion of Black and Minority Ethnic Communities in the county. We are core funded through the Community Development Programme delivered by the Department of Rural and Community Development & the Gaeltacht. This post is funded through the SEUPB.

The Project Administration & Development Worker will play a key role in the collaborative planning, monitoring and financial administration the ICIP during its 3-year lifetime.

This exciting project is a partnership between Donegal Intercultural Platform CLG and four other organisations led by North West Migrants Forum.

The main responsibilities of the Administrator will be to oversee:

  • Financial administration (including book-keeping, monitoring duties linking with Finance officer)
  • Communications and reporting
  • Governance support to Coordinator, Company manager and Voluntary Board of Directors
  • Office administration and reporting / liaison with manager, project coordinator and lead partner

Salary 

Salary for this position is set at €35,000 (pro rata) with pension set at 4% of gross salary as employer contribution. There is the opportunity to increase this role to 25 hours per week with pension benefits.

Conditions of Work: 

  • The Project Administration & Development Worker will be required to work part time, 18 hours per week (an additional 7 hours per week from another similar programme is available).
  • This role will be subject to a 3-month probationary period and performance in role will be discussed throughout the term.
  • Full Driver’s License and access to transport for work is desirable.
  • This is a fixed term contract that is expected to continue to mid-2027 with the opportunity to extend for 1 additional year subject to funding. These terms may be extended or reduced subject to continuation of funding.
  • The post may require working outside of normal office hours from time to time, for which candidates will be compensated through an operational system of “time in lieu.”
  • Travel and Subsistence expenses will be provided in accordance with DIP agreed policy.

Main Duties:

You will be required...

  1. To oversee the efficient financial administration of the Intercultural Platform
  2. To develop/use administration systems and procedures and ensure effective implementation of same
  3. To support the development and maintenance of appropriate monitoring and reporting systems in compliance with company law, departmental, state and EU requirements.
  4. To support the development and maintenance of effective communication systems, particularly with Platform supporters, registered volunteers, affiliated organisations and project and event participants.
  5. To develop, manage and maintain the computerised financial records of DIP and produce regular financial reports and returns including reporting duties to DIP funders. This will include
    1. Income and expenditure
    2. Financial reports to DIP manager, Finance & Staffing Sub-Committee and Board of Directors
    3. Assist in the preparation of financial reports to core and ancillary funders
    4. Preparation and shared oversight of annual audit
  6. To ensure DIP is operating in line with proper legal, governance and accounting practice
  7. To maintain an efficient filing and information recording systems, attendance records etc.
  8. To update and maintain any databases in relation to SEUPB and funder monitoring requirements
  9. To support the maintenance of IT and communications systems, social media and online meeting tools
  10. To assist in the content management of the DIP website (www.interculturaldonegal.org)
  11. To participate in the organisation of DIP AGMs, and the production of Annual reports
  12. To participate in team meetings, maintain meeting records, administratively supporting ICIP workshops, event planning, facilities booking and related duties in support of project delivery
  13. Other administrative duties which may arise from time to time.

Core Competencies Essential

  1. Evidenced experience At least three years’ experience in an office environment including general administration & book-keeping experience plus secretarial skills
  2. IT Skills in administration and accounts software Proficient in a range of IT programmes - Word, Excel, Payroll and database software
  3. Proven knowledge and experience with finance and administrative systems Experience of manual and computerised book-keeping and project-specific recording, monitoring and reporting systems
  4. Record keeping Ability to maintain accurate records with excellent attention to detail
  5. Self-direction & teamwork Ability to work on own initiative as well as part of a team
  6. Communications and social media Excellent communication and interpersonal skills and evidenced ability with social / communications applications including TEAMS; ZOOM, GOOGLE MEET

Core Competencies Desirable

  • Self-motivated and dynamic with a flexible approach to work. Good time management skills
  • Ability to make presentations and visual / verbal reports using appropriate software
  • Ability to prioritise competing demands
  • An interest and working knowledge of the community sector.

Location

The main office of DIP is in at 18/19 Academy Court, Oliver Plunkett Road, Letterkenny and the post will be located there. Given the requirements of data protection (GDPR) and company law and public-facing role, the main duties will be carried out in the organisation office. There will be some limited scope of hybrid working on specific tasks with agreement in advance with the company manager.
