Rainbows Ireland is a national voluntary organisation working across the country for almost 40 years to enable children and young people who have experienced a significant loss to access peer support. This support happens within their local communities as they seek to come to terms with their grief and loss. We do this through the establishment and maintenance of a national network of Registered Rainbows Centres, where trained Facilitators support children and young people through the Rainbows peer group support.
Office Administrator Role
Rainbows Ireland is looking to hire a part-time Office Administrator for 14 hours per week. This role will support the delivery of our professional training programmes across the country, manage inventory, and handle various day-to-day tasks, including phone inquiries, photocopying, processing mail, and managing orders.
Key Responsibilities
The Office Administrator will serve as the first point of contact for volunteers and professionals interested in Rainbows Ireland training opportunities, as well as for parents seeking guidance on accessing our services. This position requires strong multitasking and organisational skills. The work will be an in-house role.
Office Administrator Duties
Training Service & Database
- Support the delivery of an efficient professional training service.
- Assist trainees with registration and engagement in training programmes, including monitoring and evaluation.
- Support Trainees with their initial engagement on the Database (registering for courses/training etc).
- Address queries related to public training events, bespoke training, and information sessions.
- Ensure all data regarding engagement with the training service is accurately recorded in the database.
- Process resources for training and manage training orders for external organisations, as well as the Rainbows trainers and staff team through the Database.
Office Management
- Manage office supplies for the staff team and support staff with training-related tasks, such as photocopying and mailing resources.
- Assist in the planning of training events.
- Perform any administrative duties as requested, including tasks such as mail-outs, photocopying, typing, and preparing handouts for trainers.
Promotion & Social Media
- Collaborate closely with the team to promote all training events, ensuring they are fully booked, and communicate booking queries clearly to the training team.
- Ensure that the website accurately reflects the calendar of training events for parents, volunteers, and professionals.
- Help update the website and promote the organisation’s training events and services through social media.
Policies & Procedures
- Support the development of policies and procedures relating to various aspects of the organisation.
- Aid in the induction process for new staff and students joining the service.
- Support the Office Manager in implementing the Child Safeguarding Policy with particular focus on Garda Vetting Facilitators.
Other Duties
- To be responsible for the completion of all administrative work associated with the post of Administrator
- To attend all required staff meetings, trainings, and development days
- To participate in supervision and reviews with the Rainbows Ireland CEO – Line Manager.
- To undertake other areas of work where necessary or as requested by the CEO.
The Office Administrator in Rainbows Ireland will be responsible to the CEO daily and will be subject to all the Policies and Procedures of Rainbows Ireland.
Candidates need to:
- Possess an excellent telephone manner.
- Exhibit strong administrative skills.
- Demonstrate proficiency in IT, especially with Zoom, Teams, client system databases, MS Forms, Word, Excel, Outlook, and internet usage and social media.
- Maintain a client-focused perspective and be trauma-informed.
- Display enthusiasm and initiative.
- Be capable of working both independently and collaboratively within a team.
- Have strong written and verbal communication skills.
- Exhibit excellent interpersonal skills and the ability to function effectively as part of a team.
- Be well-organised with a keen attention to detail.
- Have the ability to work both remotely and on-site with the team.
While not essential, ideal candidates would also:
- Have experience providing information to individuals via phone, email, and Zoom.
- Have experience engaging with the public in a supportive role.
- Have experience working in the Irish voluntary or community sector.
- Have experience with content creation for social media and familiarity with WordPress for website management.
This position is available for 14 hours per week during office hours, Monday to Friday. Flexibility in scheduling can be both offered and expected. The role will be hybrid post probation, allowing for a mix of in-house and remote work. Compensation is based on skills and experience, ranging from €14.73 to €16.51 per hour.
