Administrator / Receptionist

Job Title: Administrator / Reception (Part-time afternoons and 2 evenings) Monday to Friday

General Administrative/Reception Duties

  • Process all payments and ordering of food/ cleaning and other supplies keeping within budget.
  • Liaise with manager to produce monthly income & expenditure reports in preparation of management meetings.
  • Liaise with manger and Accountant to produce quarterly returns to our Funding agencies as set out in the terms of our Service Level Agreements.
  • Preparation of Monthly reports for the manager
  • Processing of incoming and outgoing mail.
  • Provide front of House support and greet visitors in a professional manner.
  • Ensure all visitors, service user and residents sign in and out as required.
  • Maintenance of the Service filing systems.
  • To prepare and file records and returns to the appropriate funding body in the format required.
  • To report any discrepancies and arrears/ non-payment of rents to the manager.
  • Ensure to adhere to best practice in cash handling and adhere to Orione Cares policies and procedures at all times.
  • To ensure reception and office area are kept cleaned and sanitized at all times.
  • To positively promote Orione Care and its Services at all times.
  • To exercise discretion and maintain confidentially in all aspects of your role.
  • To Participate in the development of Policies and procedures
  • Develop positive working relationships with service stakeholders, responding efficiently and effectively to their queries and requests.
  • To attend and participate in team meetings.
  • Attend training as required.
  • Any other duties assigned to you by the manager

Other responsibilities -

  • Perform other duties and tasks, consistent with the skills and expertise, as required in non-routine circumstances.
  • To help with the cleaning of residents rooms as they move out/in and ensure all bedding, crockery, cutlery are in place.
  • Contribute to organisational processes of policy formulation.
  • Adhere to Orione Care Ireland policies and procedures.
  • Participate, as appropriate, in staff forums and meetings.

Requirements

  • Minimum of 2 years of experience in finance and administration, ideally within the charity or public sector.
  • Excellent organizational and time management skills.
  • Ability to work flexibly, adapt to changing priorities
  • Self-motivated with the ability to work independently and as part of a team.
