Job Description

PA to the Director of Services and administrative support to the Management Team and Head Office.

General Duties

  • Diary Scheduling
  • Answering phone, greeting visitors, sorting post and photocopying
  • Organising meetings with the Management Team
  • Drafting and formatting reports and letters
  • Filing
  • Processing employee paperwork
  • Updating Contracts
  • Organising office supplies
  • Attending meetings and assisting with the preparation of meeting materials and minute-taking
  • Monitoring Timesheets
  • Fulfilling other duties that may be assigned
  • The PA will report to the Director of Services

Qualifications

  • Qualification in business administration or other related courses is desirable
  • Minimum Level 6 on National Framework of Qualification or equivalent

Essential Experience

  • Three years’ relevant experience
  • Practical experience of working with IT in a professional environment
  • Organisation and administrative skills
  • Digital skills including competences using word processing applications and spreadsheets
  • Experience of working independently
  • Teamwork and ability to collaborate with others in a team environment
  • Flexibility and openness to respond to requests

Personal Characteristics

  • An ability to show empathy and understanding when dealing with others, and respecting confidentiality at all times
  • Creativity and an ability to respond to challenges and new initiatives
