Job Title: Visitor Centre Administrator

Role Overview: 

We are seeking a seasoned and proactive individual to assume the position of Administrator at Oweninny Windfarm Visitor Centre. This role entails not only providing exceptional customer service but also overseeing the day-to-day administrative duties of the centre. The Office Administrators role is chiefly to provide support to the centre manager and Visitor Centre Lead in the day to day running of Oweninny Windfarm Visitor Centre. They will be dealing with the public on a daily basis and will be expected to represent Oweninny Windfarm Visitor Centre in a positive light to the community and centre visitors.

Key Responsibilities:

1. Administration:

  • General office administrative and clerical
  • Assistance with financial procedures as required, setting up purchase orders, follow up on payment requests etc.
  • Manage orders and payments with precision.
  • Recording visitor numbers and assist in compiling reports when required.
  • Develop and maintain users/client database, process forms and details.

2. Customer Service Excellence:

  • Provide friendly, positive customer service by phone and in person to attract sales and build relationships.
  • Implement strategies to enhance the visitor experience and maintain a welcoming and informative atmosphere within the centre.
  • Record customer feedback as required and help in the collation of reports.

3. Staff Management and Training:

  • Maintain records of training requirements and completed sessions.

4. Operational Efficiency and Administration:

  • Adhere to operational procedures including tour bookings, cash handling, and administrative tasks.
  • Maintain accurate and timely records for day-to-day operations.
  • Develop and maintain event/function sheets/ calendar.
  • Monitor inventory levels and coordinate with relevant departments to replenish supplies as needed.
  • To assist management in the control of costs throughout all areas of the Visitor Centre.
  • Payroll processing, scheduling, and record-keeping.

5. Health and Safety Compliance:

  • Uphold health and safety standards within the centre including safety protocols and emergency procedures, promoting a safe environment for visitors and staff.
  • Collaborate with relevant stakeholders to implement and maintain effective safety measures throughout the centre.

6. Qualifications and Skills:

  • Level 6 in Office administration or related disciplines
  • Previous experience in office administration, preferably in a customer service-oriented environment.
  • Strong teamwork, time management, and attention to detail.
  • Proficient in Microsoft applications and payroll software.
  • Strong interpersonal skills.
  • Excellent communication skills, both verbal and written, with a customer-centric mindset.
  • Demonstrated ability to handle customer inquiries or complaints effectively and professionally.

Location: Oweninny Windfarm Visitor Centre

Scale & hours: €20.50, 14 hours per week.
