Job Title: Registrar

Location: ICHAS College, Walton House, Lonsdale Road, National Technology Park, Castletroy, Limerick

Working Hours: 22.5 hours per week. Normal hours are 9:00 to 17:00. Normal week shall be 3 days, but flexibility will be required to occasionally include a weekend day and evenings.

Salary Dependant on experience.

Reports to: Vice President of Academic Affairs

Purpose of this role

The Registrar is a key Academic Administration role, which operates within the Office of the Vice President of Academic Affairs. The Registrar supports the Vice President of Academic Affairs in ensuring the overall academic integrity and standards of the College.

The Registrar is responsible for providing leadership and strategic direction in the management of innovative, progressive programme support services, and processes that support students in their academic pursuits while enhancing student life and the Learning Community within the College.

The Registrar leads undergraduate and postgraduate activities related to admission, registration, grading, transfer, class and examination scheduling, student awards, academic calendar publication, administration of examinations and graduation and supports the Director of Studies as well as the Office of the Vice President of Academic Affairs in assuring the overall quality in curriculum and programme monitoring and review, the development of new programmes and adherence to the highest international academic standards.

Job Specification

At a Strategic Level, the Academic Registrar

  • Serves as a senior member of the College Management Team
  • Is responsible for developing and when approved, is responsible for implementing a College - wide strategic plan to guide the academic operations of the College and ensure adherence to QQI standards and policies.
  • Have overall responsibility for the design, implementation and monitoring of quality assurance and enhancement processes.
  • Provides leadership to the Office of Academic Affairs, which incorporates the Admissions, The Examinations and Student Support Services.
  • Collaborates with the Vice President of Academic Affairs to develop, implement and monitor a streamlined application and admission process
  • Reviews academic and administrative policies and recommends changes and, when required, drafts new policies for consideration by the appropriate committees and in particular Academic Council.

At an Operational Level, the Academic Registrar

  • Co-ordinates meetings with senior team leads in each area within the Registrar's office and is responsible for ensuring a high level of collaboration across the Student Affairs portfolio and the Office of the Vice President of Academic Affairs.
  • Supports and encourages the development of new and innovative programmes to better support the academic and administrative standards within the College for students and staff alike.
  • Develops strong working relationships across the College as well as with the external community.
  • In consultation with faculties and academic units, the Registrar will develop effective procedures to implement admission and retention policies.
  • The Registrar in consultation with the Education Technology Manager and Information Systems Manager will monitor and oversee the student information and learning management systems as well as IT resources.
  • Monitors the annual admissions cycle from point of application through registration and ensures a high level of customer service by making timely adjustments as required.
  • Ensures implementation of academic policies with regard to student records, academic standing, registration, examinations, grading and graduation.
  • Oversees management of physical classroom space as well as virtual facilities and equipment.
  • Supervises the production of the print and /or web versions of the College’s Academic Calendar.
  • Provides support and advice to the Vice Presidents of Academic and Corporate Affairs and College President on issues relating to Admissions, Registration, Progression and Transfer; Academic Standards, Awards, and Academic Planning.
  • Relates professionally with Registrars in other Colleges and External Academic Bodies or other organisations or individuals as required
  • Implements a strong performance management system across the Registrar’s Office that is consistent with the overall approach at college level.
  • Works with all staff to develop a positive customer oriented service, by providing training, support, coaching, recognition, and involvement. Evaluate and report on personnel performance.
  • Ensures that all services and reporting are completed satisfactorily.
  • Promotes teamwork for the unit to heighten mutual understanding and cooperation and instill a student and community orientation
  • Ensures staff are appropriately trained to maintain the accuracy and integrity of students' academic records.

Person Specification

The successful applicant will;

  • Be qualified to a minimum of level 9 on the NFQ (or equivalent) with experience of leading and managing a team.
  • Demonstrate having expertise and employment background in a higher education environment and an appreciation of the distinctive characteristics that exist in a privately run HEI college.
  • Have experience in the design, implementation and management of quality assurance and enhancement processes and procedures in a HE context.
  • Demonstrate capacity to understand organisational needs and objectives and to devise and implement strategies which support these within an Academic environment.
  • Manifest excellent communication skills, including a high standard of written and spoken English.
  • Demonstrate an ability to meet competing deadlines whilst working on a range of activities, prioritising workload as necessary and an ability to work with a range of people across the College and from external bodies.
  • Show a knowledge and understanding of the role and functions of QQI both as an Awarding body as well as its QAE functions and other accrediting or awarding bodies as applicable.
  • Demonstrate an empathy with the needs of students, both first-time college students and mature entry students as well as faculty and staff.
  • Have experience of working with a broad range of stakeholders, at various levels within and external to an organisation, and the ability to foster and maintain relationships.
  • Be an advocate of employee engagement and a driver for change and continuous improvement
  • Have a working knowledge of Student Information Systems and other IT and data management systems
