Status: Part-Time

Job Summary: Developing, administration, promotion and organisation of internal and external events at the F2 Centre

Reporting to: Centre Manager of F2 Centre

Term: This is a one-year contract, with the option to renew, with continued funding from Pobal and includes a six-month period of probation.

Hours of Work: 21 hours per week

Location: This is an office-based position, based in F2 Centre (flexible hours weekends)

Salary: €20,000

This is an exciting opportunity to join the F2 Centre team as we continue to expand and upgrade our audio-visual sound, lighting and staging event facilities. The centre was purpose-built opening in 2009 and stands at 2400 sq meters set over four floors.

Background 

In December 2018 the Fatima FRC entered into a legal agreement regarding running and managing the F2 centre and related facilities. As part of this arrangement, the Community Service Programme (Pobal contract) was transferred over to the FRC.

Fatima FRC are responsibility for managing & running of core projects based in the F2 including Family Support & Therapeutic Project (FSSP), Health and Education Project, Fatima Community Employment Project (CE), Community Arts & Community Development Teams.

Job Specification 

We are looking for a dynamic and motivated Events and Communications Administrator to join our growing team in our busy community centre. This part-time role (21 hours per week, with flexibility across the week) is ideal for someone who thrives in a busy environment. The person will play a key role in organising a wide range of events, enhancing internal and external communications, and helping us build on our existing success.

Key Responsibilities

Event Administration

  • To be the initial and main point of contact for all enquiries and bookings of facilities managed by F2, including scheduled programmes, standalone events, conferences, events and festivals and to ensure that all health and safety and insurance requirements are met
  • To liaise with all operations staff in relation to the set up for conferencing events and be available to supervise the set-up of same
  • To ensure that rooms and facilities are set up according to end user requirements, including seating, tables and any audio-visual equipment.
  • To ensure a high-quality professional service is always maintained in relation to conferences and events and to undertake follow up evaluations with end users to obtain their feedback
  • To set up, manage and regularly update the internal bookings calendar and ensure that information is available to all who require access to it
  • To provide the information to issue invoicing in relation to bookings of the F2 Centre
  • Liaise with community partners, sponsors/funders and stakeholders to enhance event impact
  • Ensure that events are welcoming. inclusive, accessible and tailored to meet the needs of the local community, including any necessary adjustments for different groups
  • Handle on-the-day event management, ensuring activities run according to schedule, addressing and managing any arising and/or ongoing issues.
  • Maintain, catalogue and ensure all AV equipment is held to the highest standard
  • Oversee and monitor the recording of centre footfall & complete relevant reports

Communications

  • To update the FGU Centre website (events section) and associated social media (Tick Tok , Instagram, Facebook, etc ),
  • Administer communications and publicity and to have events documented within the F2 Centre as appropriate in relation to this
  • To handle event and programming communications in the F2 Centre and liaise with the Centre Manager

The successful applicant will have:

  • Experience in event planning, communications, or marketing.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and use of social media platforms.
  • Ability to multitask, manage deadlines, and work independently and as part of a team.
  • A flexible approach to the work environment of a community/neighbourhood centre and passionate for community-building, social inclusion and socially engaged themes.
  • Experience of working in a similar role/environment for at least 2 years
  • A relevant qualification in Communications/Public Relations/Marketing and/or Event Management or the Arts is desirable.
