ABOUT US

Co-operative Housing Ireland (CHI) is the national organisation representing, promoting and developing co-operative housing in Ireland. Since our foundation in 1973 we have provided over 8,300 homes through homeownership, shared ownership and social rented co-operatives. CHI currently manages over 5,300 homes across Ireland as well as providing a network of childcare services in our communities.

ROLE OVERVIEW

CHI is seeking a “Senior Administrator” to work 35 hours per week, Tuesday – Wednesday in person (Monday/Friday Hybrid). The role will be based out of our Head Office, 11/12 Warrington Place, Dublin 2 and report to the Director of Corporate Services.

The Senior Administrator is responsible for assisting the Director of Corporate Services and CEO in their daily activities to ensure the successful running of the organisation and managing the Warrington Place Office. The post holder will be expected to anticipate needs of the office, CEO and Director of Corporate Services and offer solutions to problems with can-do, professional manner. Applications from candidates with at least 3 years’ experience in areas such as administration and office management are welcome.

WHAT YOU WILL DO

Management

  • Complete a broad variety of tasks that facilitate the CEO and Director of Corporate Services’ ability to effectively lead the organisation.
  • Manage the office environment, liaising cleaners, and manage suppliers and room bookings.
  • Arrange and handle logistics for meetings and related events.
  • Support both the CEO and Director of Corporate Services to manage their schedule and assist in the preparation of meetings.
  • Collect information for meetings with staff and external stakeholders.

Organisational

  • Assist in the daily activities of the CEO and Director of Corporate Services to ensure smooth running of the organisation.
  • Assist with other staff meetings and events as needed.
  • Assist the efficient running of meetings as required.

Relationship Management

  • Maintain open communications with the Executive Management Team.
  • Develop sustainable relationships both externally and internally.
  • Ensure smooth communication between the CEO, Director of Corporate Services and staff.
  • Work with diverse groups of people, including Board members, senior executives, staff, community leaders, and members.

These duties are a general guide to the responsibilities of the Corporate Support Executive. They are neither definitive nor restrictive. The post-holder may be required to undertake other duties commensurate with the post.

WHAT YOU WILL BRING

  • Minimum of 2 years’ experience in a similar or comparable role.
  • Third-level qualification in a relevant subject.
  • High degree of professionalism in dealing with diverse groups of people.
  • Excellent organisational skills with a proven ability to work in an organised, proactive, flexible and self-directed manner.
  • High standard of written and oral communication skills.
  • Demonstrable IT skills and experience of Microsoft Office 365 with strong Word, Excel, and PowerPoint skills.
  • Strong attention to detail.
  • Ability to handle multiple priorities and deadlines.
  • Highly self-motivated, performance oriented and delivery focused.
  • Flexibility to perform occasional evening and weekend work.
  • Motivated to work within the non-profit housing sector, with a passion for making a difference.

WHAT WE OFFER

Salary: CHI operates a competitive salary depending on experience. The performance-based salary model also allows for significant yearly salary increases on a set salary range through performance.

Annual Leave: Annual leave will be 22 days (exclusive of 10 public holidays), plus 3 Privilege Days. Additional Annual Leave can be accrued as paid time off in lieu of overtime (TOIL).

Education & Training Opportunities: Continuous Professional Development, Training and Further Education courses are paid for at CHI’s discretion where relevant.

Paid Study & Exam Leave: CHI encourages further education and development of staff and provides paid study and exam leave at their discretion.

Paid Sick Leave: CHI operates a paid sick leave scheme for employees after 3 months on an incremental scale based on length of service. CHI also operates an Income Continuance Scheme for eligible employees on long-term sick leave.

E-Working Allowance: An electronic working allowance is payable to employees daily for remote working.

Professional Memberships: Fees for relevant membership bodies paid for at CHI’s discretion.

Travel & Subsistence: Travel and subsistence allowances will be paid similar to public sector rates, in accordance with CHI’s Expenses Policy.

Pension: Co-operative Housing Ireland offers a defined contribution pension plan. Employees have access to the scheme on successful completion of their six-month probationary period.
