Role: Rent Administrator

Location: Based in Waterford, Dublin, Cork or Galway to be agreed with successful candidate.

Reporting to: Regional Rent Support Office/Regional Housing Manager

Terms: Temporary – Six months - Full-time 39 hours per week

Salary Range: €29,913 - €38,694 (Please note that offers are typically made at the beginning to mid-range of the advertised salary, based on skills and experience)

Job Purpose:

We are currently seeking a suitably qualified individual to join our Regional Rent Support team. The successful candidate will be a great team player with strong attention to detail and excellent administration skills. This role will support the delivery of rent services for our social housing tenants, with a focus on annual rent reviews, tenant engagement, rent setting, arrears support, and accurate record keeping.

Core Duties and Responsibilities:

Arrears Monitoring and Support:

  • Monitor tenant rent accounts for arrears and flag concerns to the RSO, Housing Officer or relevant team member.
  • Support the arrears recovery process by issuing reminder letters and arrears statements in line with policy.
  • Liaise with tenants who fall into arrears to clarify rent charges and help identify underlying issues.
  • Work with Housing Officers to agree and document affordable repayment plans for tenants in arrears.
  • Ensure accurate documentation of all arrear’s correspondence, agreements, and interventions.
  • Assist in preparing case files for escalation or legal proceedings, including RTB documentation where required.
  • Contribute to regular arrears reports and analysis for internal monitoring and governance purposes.

Rent Review and Administration:

  • Provide administrative support to the Regional Rent Support Office and Housing Services teams.
  • Process annual rent reviews, manage documentation, and ensure timely and accurate rent charge updates.
  • Maintain detailed and up-to-date tenant rent records and ensure all correspondence is properly filed.
  • Issue rent calculation letters and handle all queries regarding rent assessments.
  • Track progress of rent reviews and escalate issues as needed.

Policy and System Compliance:

  • Support implementation of differential rent policies across schemes in collaboration with local authorities.
  • Identify and report system errors or inconsistencies and test fixes in coordination with IT and Housing teams.
  • Keep informed on changes to social welfare rates or housing policy that impact rent calculation and arrears thresholds.

Communication and Liaison:

  • Act as a point of contact for tenant rent-related queries.
  • Issue reminders and updates to tenants via SMS, phone, or email.
  • Collaborate with Local Authorities and internal departments on rent queries, policy updates, or technical issues.

Reporting and Evaluation:

  • Assist with preparation of rent and arrears performance data for management and Board reporting.
  • Participate in year-end review of rent processes and identify areas for improvement

Person Specification:

Qualifications and Experience:

  • 1–2 years’ experience in an administrative or housing-related role.
  • Qualification in Business Administration or a related field.
  • Experience working in a customer-focused or housing environment.
  • Familiarity with social housing, differential rent schemes, and arrears processes (desirable).

Skills and Competencies:

  • Excellent written and verbal communication skills.
  • Strong organisational and administrative skills with high attention to detail.
  • Ability to prioritise tasks and manage competing deadlines.
  • Proficiency in Microsoft Office, particularly Word and Excel.
  • Ability to deal sensitively with tenant issues and maintain confidentiality.
  • Empathetic yet firm approach to arrears resolution.
  • Team-oriented with a flexible and proactive mindset.
  • Results-focused and aligned with Respond’s values.

Other Requirements:

  • Full, clean driving licence and access to own car.
  • Knowledge of the Approved Housing Body sector (desirable).
