Title: Jobs Club Assistant
Status: Fixed Term Contract of Employment
Location: Dublin (Finglas and Cabra)
Reporting to: Employment Centres Manager
Salary: DNWAP Officer Level 1

Role Description

Role Purpose – The Jobs Club assistant is required to work as part of an effective team implementing objectives and actions as set out in the Company’s Strategic Plan, annual programmes of work and in their own personal annual work plan.

Duties of the Role - The role will entail performing the following duties:

  • Providing support to the Jobs Club Facilitator in the administration and operation of the DNWAP Jobs Club

Administration:

  • Dealing with all queries related to the Jobs Club: liaising with clients, Guidance Staff, employers and other stakeholders including DEASP
  • Managing the referral and registration process for all Jobs Club activities
  • Maintaining accurate records of client referrals and attendance
  • Updating CRM database with client details, activities and progressions
  • Assisting in the generation of monthly reports and submissions to DEASP
  • Managing Jobs Club diary for registrations, one to one appointments and workshop schedules
  • Maintaining accurate records of all client correspondence and communication
  • Processing monthly training allowances and any other Jobs Club related expenditure
  • Updating employer and vacancy database
  • Monitoring and ordering office supplies
  • Other duties as may reasonably be requested

Workshop Support:

  • Providing ongoing support to the Jobs Club Facilitator in the coordination and delivery of Jobs Club workshops
  • Researching job vacancies and providing support to clients in their job search
  • Preparing and compiling client CVs and Cover Letters
  • Updating Jobs Club social media platforms with vacancies
  • Working closely with the Jobs Club Facilitator to ensure the smooth and efficient running of all Jobs Club activities
  • Developing excellent awareness of labour market and recruitment trends
  • Assisting Jobs Club facilitator in matching clients to employment opportunities
  • Any other duties as may reasonably be requested

Person Specification

Skills & Attributes Required

  • A clear understanding of the problems associated with unemployment; empathetic to the needs of those most distanced from the labour market, with a genuine interest in working in this sector(essential)
  • Innovative and enthusiastic
  • Excellent interpersonal and communication skills
  • Excellent knowledge of Microsoft Office programmes (essential), and previous experience of CRM systems (desirable)
  • Excellent administration and secretarial skills
  • Knowledge of social media platforms relevant to job search
  • Previous experience of working with similar groups is desirable
  • Confident addressing and presenting to groups
  • Ability to work on own initiative and flexible in approach to work
  • Organisation, time management and problem solving skills

Qualifications

A QQI qualification in Administration/ Business Administration/ Social Studies or other training relevant to the role (or 3 years experience in similar role)
