CLERICAL OFFICER- PERMANENT

Role:
This role offers a fantastic opportunity to provide support to our Dublin Central Office, based in Nicholas Street, Dublin 8. Depaul is a values-led organisation working with a number of homeless services throughout Dublin and Belfast. This role is a varied one dealing with all departments at some level, while co-ordinating all phone queries and post. The role is an integral part of Depaul’s Central Office and could prove to be an exciting opportunity to join a diverse team of talented individuals for the successful candidate. The role reports directly to the Office Manager.
The ideal candidate for this post will be a good communicator, show an ability to be flexible, use their initiative and apply sound decision making skills. A willingness to work as part of a wider team is essential.
Organisational Responsibilities
- In conjunction with your line manager to continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of the Depaul
- To participate in internal/external meetings as required, and attend training events, conferences and other functions as necessary
- To participate in regular supervision and annual appraisal, and help in identifying your own job-related development and training
- To at all times undertake your role in a professional manner maintaining a high quality standard of work, and to always work in accordance with the aims, values and ethos of the Depaul’s
- Undertake any other duties that may be required which are commensurate with the role
Key Tasks:
- Day to day office administration tasks
- Taking telephone queries and directing to relevant dept./personnel
- Booking of meeting rooms when required.
- Facilitating meetings / minute taking when required.
- Administration Support to the Fundraising and HR Departments
- Drafting correspondence where applicable / relevant.
- Ensuring the staff communal areas are kept to a high standard of cleanliness/ replenished with relevant items as and when required.
- Data entry / collating of information.
- Any other tasks deemed reasonable as directed from your line manager.
Flexibility
From time to time, you may be asked to perform other duties which are relevant to your area of work. In addition, you may be asked to support colleagues in other Central Office areas from time to time and to cooperate fully with the IT department. As a result of technological advancement, regulatory changes and sectorial developments, Depaul’s will continue to evolve and grow over time. New systems and new work practices being introduced as required. Your duties and role will evolve also in line with this. An up to date Job Description will be provided to the successful candidate on commencement of employment.
Person Requirements:
- 2 years’ experience using MS Excel, MS Access, MS Power Point and MS – ESSENTIAL
- Experience setting up and maintaining both manual and computerised filing systems.
- Proven analytical skills and attention to detail.
- An understanding of the current issues facing homeless people
